Bulk Group Change

The Bulk Group Change tool allows you to update group settings for multiple groups in one job. 
 
 



Note that all "Upload" tasks require the file size to be under 1MB.



Step 1: Download the template

Download our current template that can be found here, or download the template from the attached file.  The first row contains the following headers.  The fields that it can take are also listed below:
  • action: This field is required. Specify the action you wish to take.  
    • Enter "Create" to create a new group
    • Enter "Update" to update an existing group
    • Enter "Delete" to delete a group
  • email: This field is required.  This is the email address for the group.
  • name: This field is required.  Enter the name of a new group or to update the name of an existing group.
  • show_hide_in_gal: Specify whether or not to include this group in the Global Address List.
    • Enter "Show" to include the group
    • Enter "Hide" to exclude the group
  • show_in_groups_directory: Specify whether or not to list this group in the Groups directory.
    • Enter "Show" to include the group
    • Enter "Hide" to exclude the group
  • description: Enter a description for the group.
  • add_members: Specify members to add to the group.  
    • Separate multiple members with a comma
    • Use ALL when you want to add all users in the domain to the group.
  • remove_members: Specify members to delete from the group.  
    • Separate multiple members with a comma
    • Use ALL when you want to delete all users in the domain from the group.
  • send_bounce_backs: Specify whether or not to activate bounced email notifications.
    • Enter "yes" to send the notifications
    • Enter "no" to not send the notifications
  • max_message_size_mb: Specify the maximum size in megabytes of group messages.
    • Example: To set the max size at 20 megabytes, enter "20"
  • spam: Specify how suspected spam messages should be handled by selecting the appropriate moderation level.
    • Enter "1" to send them to the moderation queue, but do not send notification to moderators
    • Enter "2" to send them to the moderation queue and send a notification to the moderator
    • Enter "3" to immediately reject them
    • Enter "4" to skip the moderation queue and post to the group
  • view_content: Specify who can view topics in this group.
    • Note: Only one value may be entered in this field.
    • Enter "man" to only allow managers of the group to view topics
    • Enter "mem" to only allow members of the group to view topics
    • Enter "org" to allow all users in the organizational unit to view topics
    • Enter "own" to allow only owners of the group to view topics
    • Enter "ext" to allow users external to the domain to view the topics.
  • view_members: Specify who can view the forum membership list.
    • Note: Only one value may be entered in this field.
    • Enter "man" to only allow managers of the group to view the membership list.
    • Enter "mem" to only allow members of the group to view the membership list.
    • Enter "org" to allow all users in the organizational unit to view the membership list.
    • Enter "own" to allow only owners of the group to view the membership list.
  • post: Specify who can post messages to the group forum.
    • Note: Only one value may be entered in this field.
    • Enter "man" to only allow managers of the group to post to the forum.
    • Enter "mem" to only allow members of the group to post to the forum.
    • Enter "org" to allow all users in the organizational unit to post to the forum.
    • Enter "ext" to allow users external to the domain to post to the forum.
    • Enter "own" to allow only owners of the group to post to the forum.
  • post_as_group: Specify who can post topics and replies from the group email address.
    • Enter in the email address of the member who will be able to post as the group
    • Separate multiple members with a comma.
  • join: Specify who can join the group.
    • Note: Only one value may be entered in this field.
    • Enter "org" to only allow anyone in the organization to join.
    • Enter "inv" to only allow invited users to join.
    • Enter "ask" and anyone in the organization can ask to join.
  • allow_external: Specify whether or not to allow members external to this organization.
    • Enter "yes" to allow new users not in the group's organizational unit
    • Enter "no" to disallow new users external to the group's organizational unit




   The following contains important information on configuring your CSV file.

   Important! When editing your template the following headers must be present and in the following order:

   action, email, name, show_hide_gal, show_in_groups_directory, description, members, send_bounce_backs,
   max_message_size_mb, spam, view_content, view_members, post, post_as_group, join, allow_external

                               If one of these headers are missing or not in the correct order, data may not upload to profiles correctly. 
                               The template should also be in the file format of CSV.

                               Important! Secondary domains are not supported at this time. 

 Important! We highly recommend making and editing your CSV files in Google Docs. Due to a difference in formatting, CSV
 files created and/or edited with the following software will not upload properly:
        • Open Office 

Step 2: Format your Template



You have many options you can enter for any of the fields when populating the template.  See the available options above.

  • If you wish to overwrite a field for a user, then just simply put the new information into the field.
  • If you do not wish to overwrite a field for a user, then leave the cell in the CSV file empty. 

  • If you want to clear that field for a user, then enter clear in the cell in the CSV file. 




Step 3: Upload the CSV File

To get started, click the Bulk Group Change link on the Groups section of the Bulk Operations page.


Click Choose File and navigate to the directory your CSV file is located in.



Select the CSV file and click Open.


Verify that you've selected the correct file and click Submit.



You will receive an email notification with the results once the process is complete.
